About the office
Sum Dek Joe is an economist and a candidate with Parti BERSAMA Malaysia, running a constituency and campaign office serving the Greater Klang Valley. The office handles constituent complaints, community programmes, policy research, public communications and volunteer coordination. It is a small, fast-moving team where responsibilities are broad and the work is visible.
Purpose of the role
The Office Manager keeps the office running so that everyone else can focus on serving constituents. You are the operational backbone of the team: managing the day-to-day, keeping records in order, coordinating people and making sure nothing falls through the cracks.
Key responsibilities
- Manage day-to-day office operations, supplies, facilities and vendor relationships
- Maintain the constituent complaints system, ensuring every case is logged, assigned and followed up within committed timelines
- Coordinate the diary: meetings, community visits, invitations and event logistics
- Handle bookkeeping support, petty cash, claims and liaison with the appointed accountant
- Coordinate volunteers alongside the volunteer lead — scheduling, onboarding and record-keeping
- Maintain proper records for compliance, including donation and expenditure documentation
- Serve as first point of contact for walk-in constituents, callers and visitors
- Support event delivery: venue booking, permits, materials and on-the-day coordination
Essential requirements
- At least 3 years of experience in office administration, operations or a comparable role
- Strong organisational skills and genuine attention to detail
- Fluency in Bahasa Malaysia and English, written and spoken
- Competence with spreadsheets, shared drives and everyday office software
- Discretion and sound judgement when handling sensitive constituent information
- Based in or able to commute reliably to the Greater Klang Valley
Desirable
- Experience in an NGO, political office, or constituency service setting
- Working knowledge of Mandarin or Tamil
- Familiarity with basic accounting or bookkeeping software
- Experience coordinating volunteers or community programmes
